About the Role
We’re looking for a Contract Project Manager who can bring structure to information spread across meetings, Slack conversations, emails, and project documentation.
This is primarily an asynchronous project-management and project-coordination role. You generally won’t be expected to attend or run client and internal meetings. Instead, most of your work will happen after those conversations—reviewing meeting recordings, AI-generated notes, transcripts, messages, and emails to determine what the team actually needs to do next.
You’ll be responsible for turning fragmented information into clear, organized, and actionable work in Monday.com.
This is not a copy-and-paste role. AI-generated action items are a starting point, not the finished product. You’ll need to understand context, recognize actual commitments, remove duplicate or irrelevant items, identify missing information, and create tasks the team can confidently execute without scheduling another meeting.
The right person is naturally organized, notices what other people miss, and follows work through until it is completed, rescheduled, or intentionally deprioritized
What You'll Be Doing
- Reviewing meeting recordings, transcripts, AI-generated notes, Slack conversations, and email threads for actionable work
- Identifying what needs to be done, who should own it, when it is due, and what information is required to complete it
- Translating long or unstructured conversations into clear, organized, and assignable tasks
- Creating new tasks and updating existing tasks in Monday.com
- Writing task descriptions with the necessary context, requirements, links, files, dependencies, and acceptance criteria
- Assigning owners, priorities, and due dates based on the available information
- Determining whether something is a true action item, a decision, a question, a risk, a dependency, or simply part of the discussion
- Removing duplicate tasks and consolidating related requests when appropriate
- Monitoring upcoming and overdue due dates across multiple projects
- Following up with team members when work is approaching a deadline, overdue, blocked, or missing a status update
- Keeping Monday.com boards accurate, current, organized, and easy for the team to understand
- Identifying unclear requirements, missing ownership, conflicting deadlines, blockers, dependencies, and potential scope changes
- Maintaining project documentation, decision records, and relevant supporting materials
- Making sure requests do not get lost across Slack, email, meeting recordings, or other communication channels
- Providing concise project-status summaries when needed
- Using AI tools responsibly to summarize recordings, identify possible action items, and improve task documentation
- Supporting multiple client projects and internal initiatives at the same time
- Professionally and respectfully holding team members accountable for commitments and deadlines
What We're Looking For
- Proven experience in project management, project coordination, operations, or a similar role
- Experience working in an agency, consulting firm, or other environment with multiple simultaneous clients and projects
- Hands-on proficiency with Monday.com, including boards, groups, owners, statuses, due dates, dependencies, automations, and dashboards
- Exceptional written communication skills
- The ability to write tasks clearly enough that someone can understand and execute the work without another meeting
- Strong attention to detail and consistent follow-through
- Comfortable working independently and asynchronously
- Able to understand requirements without participating in every original conversation
- Good judgment about when enough information is available to create a task and when clarification is necessary
- Comfortable managing multiple projects, clients, deadlines, and communication channels at once
- Proactive about identifying overdue work, risks, blockers, missing information, and conflicting priorities
- Comfortable using meeting-transcription, summarization, and other AI-powered tools
- Able to distinguish between a passing idea and an actual commitment
- Comfortable following up with team members and holding people accountable in a professional, respectful way
- Dependable and consistent, with the ability to review incoming project communications on an agreed-upon schedule
- Able to handle confidential client and company information professionally
Nice to Have
- Experience working with marketing agencies or consulting firms
- Familiarity with Webflow website design and development projects
- Exposure to HubSpot, Salesforce, CRM, MarTech, RevOps, paid media, or marketing-operations projects
- Experience with Slack, Gmail, Google Workspace, and related collaboration tools
- Familiarity with Fathom, Fireflies, Otter.ai, Grain, or similar meeting-recording and transcription platforms
- Experience coordinating work between designers, developers, marketers, strategists, and contractors
- Experience creating standard operating procedures and improving project-management workflows
- Familiarity with website launches, CRM implementations, campaign operations, or other projects involving cross-functional dependencies

You’ll help ensure that commitments made in meetings, emails, and Slack conversations become clearly documented work—not forgotten requests buried in a transcript or message thread.
You won’t spend most of your time sitting in meetings. You’ll spend it making the work that comes out of those meetings more organized, accountable, and executable.
You’ll have the opportunity to improve how projects move through Two Impress, help multiple teams stay aligned, and create the structure that allows designers, developers, marketers, strategists, and contractors to focus on doing their best work.
